Confidentiality & AI Use

Working with founders, CEOs and senior leaders can involve sensitive information — strategy, internal documents, organisational questions, financial information or personal reflections.

Aligned in Motion treats confidentiality as a core part of every engagement. The use of Generative AI does not change that principle.

Client data is never used for model training.

How AI may support the work

Generative AI may support analysis, synthesis, preparation, structured thinking, research, learning and documentation during an engagement.

Depending on the work, Aligned in Motion may use professional services including Google Workspace, Google Meet, NotebookLM, ChatGPT and Claude.

AI is used to support professional judgement — not replace it.

Data minimisation first

Only the information necessary for the task should be used.

Before information is submitted to an external AI service, unnecessary identifying information is removed wherever practicable and the information is minimised.

For example, questionnaire or assessment responses can be analysed without providing the participant’s name, company name or other unnecessary identifying information.

No model training

Aligned in Motion configures the AI services used for client work accordingly and reviews these settings when tools, accounts or providers change.

Client data is never used for model training.

Sensitive and confidential information

Highly sensitive or directly identifiable confidential information is not intentionally submitted to third-party Generative AI services unless this is necessary for the agreed work and the appropriate client agreement or confidentiality framework is in place.

Particular care applies to non-public strategy, transactions, sensitive financial information, HR matters, Board information, sensitive personal information and confidential internal documents.

Passwords, authentication credentials, API keys and access secrets are never submitted to external Generative AI tools.

Where a client requires stricter controls, use of external AI tools with client information can be restricted or excluded for that engagement.

Meetings, recordings and notes

Some sessions may be recorded, transcribed or supported by AI-generated meeting notes using professional Google Workspace tools.

Participants are informed when recording or transcription features are used.

Normal retention periods are:

  • Raw call recordings: up to 90 days after the end of the engagement.
  • Transcripts, AI-generated meeting notes and working notes: up to 12 months after the end of the engagement.

Human judgement remains accountable

AI-generated outputs are treated as inputs to professional judgement, not as autonomous decisions.

Aligned in Motion remains responsible for the work delivered to the client.

Additional requirements

For engagements involving particularly sensitive strategic, financial, HR, transaction or Board information, additional confidentiality, NDA, data-processing or AI-use requirements can be agreed before the engagement begins.

AI should expand judgement — not create unnecessary exposure.
